Use this checklist from the first quotation request to airport day. It keeps passenger details, package decisions, documents, family needs, and travel essentials visible before they become last-minute problems.
Before requesting a quotation
Prepare the departure city, preferred travel month, number and ages of passengers, approximate budget, package duration, room preferences, and any mobility needs. A quotation cannot be meaningfully compared without the same starting information.
Write every passenger name exactly as shown on the passport and note passport expiry dates. For families, identify children, elderly parents, room privacy, wheelchair needs, and who will assist each less-mobile traveller.
Before confirming the package
Compare the written airline and route, baggage allowance, arrival city, nights in Makkah and Madinah, hotel names or categories, practical access, room occupancy, meals, and every transfer.
Check whether airport, Makkah-Madinah, and ziyarat transport is shared or private. Review payment dates, cancellation terms, hotel substitution conditions, optional items, and anything specifically excluded before approving the package.
Before submitting documents
Prepare clear passport scans, photographs in the requested format, contact information, and any current health documents required for the passenger's route and nationality. Do not crop passport edges or submit names that differ from the passport.
Visa and health rules can change. Confirm the current checklist with the agency and official Saudi sources before submission instead of reusing documents from an earlier journey.
Two weeks before departure
Recheck every passport, visa record, ticket, hotel voucher, room arrangement, transfer contact, and baggage allowance. Confirm where the group meets and who should be called if a flight changes or luggage is delayed.
Arrange prescribed medicines, copies of prescriptions where appropriate, comfortable walking footwear, phone connectivity, payment cards, and a modest emergency fund. Share the itinerary with a trusted relative at home.
Airport-day checklist
Reach the airport at the time advised by the airline or group coordinator. Keep passports and travel documents with each passenger until the group leader specifically needs them, and check baggage tags before leaving the counter.
Confirm the connection gate and terminal when applicable. Before moving as a group, agree on a visible meeting point and ensure children and elders know which adult they should remain with.
What belongs in hand luggage
Carry passports, visa details, tickets, hotel vouchers, essential medicines, prescriptions where needed, agency and hotel contacts, charging cables, and permitted power banks in hand luggage. Never rely on checked baggage for critical medication or the only copy of a document.
Add a light layer, basic toiletries within airline limits, a small snack, and any child or elderly-care essentials needed during the full journey, including possible connection time.
Family and elderly preparation
Give responsible adults copies of the itinerary and divide supervision clearly. Each elderly traveller and older child should carry a contact card showing their name, family contact, hotel, and group or agency number.
Agree on meeting points at Islamabad Airport, the Saudi arrival airport, each hotel, and mosque surroundings. Confirm wheelchair or mobility assistance before departure rather than trying to arrange it during a crowded transfer.
